Responsibilities of Liaisons | Return to top

The liaison and backup are designated by the head of the department. A Personnel Authorization Form should be on file with the Records Management Program. The liaison should have a thorough understanding of the department’s functions and be familiar with the records created and received by the office. The liaison's responsibilities include

  • maintaining contact with the Records Management Program.
  • conducting records surveys and inventories on a regular basis.
  • reviewing appropriate records schedules on a regular basis.
  • advising the Records Management Program of changes in records retention needs.
  • preparing and/or overseeing preparation of inactive records for storage in the records management storage facility.
  • coordinating activities related to retrieval and refiling of records from storage.
  • reviewing and authorizing destruction of the records ready for destruction.
