Ensure day-to-day work can continue smoothly after your departure by using this checklist to identify, transfer, and preserve Institute records.<\/p>\n<p>Thank you for remembering that <a href=\"https:\/\/policies.mit.edu\/policies-procedures\/130-information-policies\/133-archival-policy\">all Institute records are the property of MIT<\/a> and managing them accordingly.<\/p>\n<h2>Offboarding checklist<\/h2>\n<ol>\n<li>Determine which records are \u201cactive\u201d \u2013 still used by your office at least once a year \u2013 vs. \u201cinactive\u201d.<\/li>\n<li>Working with your supervisor, determine who should have access to <em>active<\/em> records and plan to transfer access before your separation date.<\/li>\n<li>See the IS&amp;T resource <a href=\"http:\/\/kb.mit.edu\/confluence\/pages\/viewpage.action?pageId=152567962\">Leaving MIT &#8211; What happens to my MIT accounts and services<\/a>? to familiarize yourself with the deactivation timeline.<\/li>\n<li>If you are the owner or administrator of a system or resource used by your office, assign that role to your supervisor (or their designee).<\/li>\n<li>Identify inactive records with enduring value to MIT and <a href=\"\/records-management\/transfer\">transfer<\/a> them to the Institute Archives. <a href=\"https:\/\/libraries.mit.edu\/records-management\/retention\/\">Retention schedules and policies<\/a> are a starting point.<\/li>\n<li>Identify <a href=\"https:\/\/libraries.mit.edu\/records-management\/retention\"><em>non-records<\/em><\/a> and <a href=\"\/records-management\/best-practices\/destruction\/\">destroy<\/a> them.<\/li>\n<li>Remember: Do not destroy records that are currently part of \u2013 or that you are aware are going to be part of \u2013 any legal action or proceeding, litigation, audit, investigation, or review.
